SUBJECT: WARRANTY DAILY CHECKLIST


To assist dealers in the performance of warranty functions, Toyota is pleased to provide a Warranty Daily Checklist. The attached daily checklist presents a synopsis of warranty tasks which TMS Warranty recommends be performed on a daily basis to ensure accurate and timely reimbursement of warranty repair credits to your dealership.

WARRANTY DAILY CHECKLIST


^ Pull/request Daily Warranty Activity Reports

- Available whenever there has been warranty activity by the dealership on the previous processing day

- Five major sections to the reports: Acceptance Report; Processor Review Report; Error Report; Denied Claim Report; and Deleted Claim Report


^ Reconcile the daily reports with the warranty claim register

- Update the status of each pending claim


^ File warranty reports and documentation

- TMS Warranty requires that substantiating documentadon be retained for five years

- Daily reports should be retained until payment notification is received on the Warranty Activity (10206) Report


^ Make claim corrections

- Claims with errors or requiring additional information are listed in the Daily Error Report

- Corrections must be made within 30 days of the claim return date to avoid claim denial

- Refer to the Warranty Reference Manual for explanations of claim error messages and correction procedures


^ Input new claims

- Claims must be received at Toyota within 30 days of the repair date

- Refer to the Warranty Policy and Procedures Manual for information on claim information requirements and claim preparation instructions


^ Research denied/debited claims

- Resolve any discrepancies arising from claim preparation errors

- Ensure that the proper accounting notations are made


^ On a 10-day basis

- Reconcile the Warranty Activity (10206) Report with the warranty claims register

- Comply with any dealer parts return requests

- Comply with any substantiating document requests
