Subject: Critical Warranty Parts Freight Reimbursement Program
The Critical Warranty Parts Freight Reimbursement Program was developed to aide dealers in enhancing customer satisfaction and to minimize customer delays due to unavailability of required parts for warranty repairs.
Recent analysis of the dealer understanding of and administration of the program has revealed that dealers are not using the program correctly, and requested reimbursement could not be substantiated as frequently as 82.6% of the time.
The critical parts freight reimbursement procedures are outlined below and detailed in Section 5, page 57 of the 1989 Toyota Warranty Policy and Procedures Manual.
^ Dealer reimbursement is based on actual critical freight charges that apply to warranty repairs only.
^ Dealers are required to file and retain the freight bill along with the claim repair order. Document retention requirements are explained in Section 6 of the Policy and Procedures Manual.
^ Reimbursement for critical freight and the related warranty repair must be requested on the same warranty claim.
- - Critical freight charges cannot be submitted as a separate freight claim.
^ Reimbursement is requested as sublet using "FR" sublet type code.
