Warranty Procedure & Procedure Summary Information

8. Warranty Procedure

For this program, the Prior Work Approval Form 176-052 (Page 6 of Attachment 1) replaces the Authorization to Submit Claims Form FPS-8376. The use of Form 176-052 provides dealerships with a complete record of telephone contacts and eliminates the need for engine plant representatives to complete a separate approval form.

The engine plant representative will complete the Form 176-052 based on the information you have provided. You will be given the six-digit serial number of the Form 176-052 as authorization to perform the repair. A copy of the form will then be mailed to your dealership for retention in your customer service file. It will indicate to send the engine to the Cleveland Engine Plant where it will be evaluated for noise and compliance to the enclosed guidelines on a random basis or to hold the engine for Ford Parts and Service disposition:

^ Hold for disposition by Ford Parts and Service Division.

^ Ship to the Cleveland Engine Plant, 17601 Brookpark Rd., Brookpark, Ohio #44142.

If your dealership has Direct Warranty Entry capacity, transmit the claims through DWE. Indicate that the required prior work approval has been obtained from the engine plant by using approval Code B on the DWE claims and the sixdigit authorization number in the comments area. if you do not obtain prior work approval, the claim will reject under the following message: "PRIOR APPROVAL REQUIRED".

The six-digit serial number of the Form 176-052 must be entered on the Authorization Number box in the upper left portion of the Form 1863 claim. Warranty repairs submitted without engine plant authorization annotated on the claim, will be returned unpaid for reason identified by Code R40.

Administration time of 0.3 hours may be included on the Form 1863 claim. This will compensate you for the time spent on the telephone when contacting the engine plant for approval. Enter the word ALLOW in the labor operation number column, 0.3 hours in the scheduled time column, and compute the amount in the normal manner. Enter the six-digit serial number of the Form 176-052 in the repair description area of the Form 1863.

The engine assembly exchange will be made on a no-charge basis; a $75.00 allowance should be claimed instead of the normal parts allowance. To claim the $75.00 allowance, enter ALLOW in the basic part number column, NET in the quantity column. The $75.00 allowance is NOT eligible for an additional 30% parts allowance. Applicable labor operations are to be claimed in the normal manner. Also, enter the words "Cleveland 5.0L Engine Program" in the instruction area of the claim Form 1863.
